Assistant Manager - Facilities & Admin Management

Job purpose: 

We are looking for a candidate for a leadership Facilities and Admin role with 7+ years’ experience in the Facilities function to: 

  • Be responsible for all Facilities and Admin infrastructure including the Transport & Security services for the India Global In-house Center (GIC) under the direction of the Head of Facilities and Administration. This includes managing the facilities organization in a globally matrixed environment 

  • Take responsibility for the function collaborate with business stakeholders and ensure its smooth functioning 

Role: 

  • Works with the Head of Facilities and Administration, leadership team and business leaders to contribute to the strategy of the organization 

  • Manages Employees Transport services, Physical & Electronic Security Services, facilities Services, Compliances including SEZ transactions and guidance on new areas, tools, techniques to manage facilities and growth 

  • Manages the entire Services of the facilities & Admin 

  • Manages and coordinates project management, quality and consistency of the facility 

  • Developing and implementing security policies, protocols and procedures 

  • Controlling budgets for operations and monitor expenses 

  • Recruiting, training and supervising security officers and guards 

Core responsibilities: 

  • Responsible for Employees Transport services including the Premium Services like Airport/ Hotel commute for the Company Guests and Home office associates 

  • Ensure Employees’ safe & efficient transport operation with the help of technology, optimized routing, deployment, tracking, feedback mechanism, safety systems, etc. 

  • Ensure accurate MIS of Transport operations & other Facilities Services 

  • Responsible for Physical Security Services and all Electronic security operations 

  • Overseeing all Facilities operation like Housekeeping, Food & Beverages services, Visitor management & other Admin services 

  • Ensuring the relevant trainings conducted to Transport service staffs, Drivers, R&R for the support staffs 

  • Responsible for Space management and accurate record maintenance. 

  • End to end in line with functional objectives Implement and service delivery framework. 

  • Establishing clear and measurable service delivery levels that support business objectives 

  • Manage Operations and Sustainability KPIs and SLAs, manage the functional budgets for the operating unit per plan. 

  • Manages the overall operation and maintenance of all electrical, mechanical, and HVAC equipment within JCPSI 

  • Ensure the highly reliable and top performing systems at facilities while keeping the operating costs in facilities at a minimum and the equipment supports mission-critical servers maintained with 99.99% uptime 

  • Responsible for execution of various corporate functional initiatives 

  • Maximize operational efficiency, thereby optimization of Facilities costs (Transport, energy, consumables & other variable spend), operational efficiency, service delivery framework, operations, customer satisfaction, facility management 

  • Understand the business and requirement and design process and procedures for the facility within the framework. 

  • upkeep-tight housekeeping mgmt., Security, BF/Lunch/Snacks/Dinner arrangements for employees, transport management – ensure safe movement of employees to and from workplace, regular maintenance, interaction with building manager/maintenance depts., etc., preparation of maintenance sheets, history card and process documentation for equipment, guidance on new areas, tools, techniques to manage facilities and growth better. 

  • Development and documentation of standards to manage the quality and consistency of facilities. 

  • Responsible for compliance with respect to statutory laws and for all periodic audits (internal and external) including SEZ compliance, Import & Export transactions. 

  • Place Annual Maintenance Contracts (AMCs) for all equipment and ensure timely support is received during any breakdown of equipment. 

  • Metrics and measurement indices for facility maintenance and upkeep, dashboards showing progress. 

  • Proactively explore options for improvement and introduce new initiatives by collaborating with the client to identify and develop solutions.

Qualifications: 

  • Graduation in Electrical, Electronics or Mechanical Engineering 

Experience: 

  • 7+ years of relevant experience in a GIC 

  • Planning, development, implementation 

Working conditions: 

  • Normal office working conditions, with stretched timelines as necessary 

  • May be required to travel (domestic/international) as per business need
